This policy describes how we send, complete, and retain internal company documents electronically: service agreements, recording consents, venue authorizations, intake forms, and similar records related to our streaming and production work. One email may include more than one document; the recipient still uses a single private link, and one signature is adopted on every document in that package after they confirm they reviewed each one. The system is operated solely for Easy Choice Streaming, a trade name of Easy Choice Reviews LLC and the people we do business with (clients, venues, families, and staff). We do not sell this capability as a product to other companies.
We design the process to support:
An electronic signature on our signing page is intended to have the same effect as a handwritten signature on paper for the transaction described in that document, including under Arizona’s UETA (A.R.S. § 44-7001 and following). Built-in templates are written for typical Arizona events (Maricopa County venue, a fee cap rather than a total liability waiver, and deposit terms framed as a reasonable estimate of loss). They cannot create “no liability in every case,” and they are not a substitute for advice from counsel on unusual facts. This policy is operational guidance, not legal advice. Specific statutes (for example, some real-estate or testamentary documents) may still require wet ink; we do not use this system for those document types.
Before a signature is accepted you must agree to use electronic records and signatures. That consent screen explains your right to paper, how to withdraw consent, and what data we store. If you do not agree, choose Decline. We will not treat a declined package as signed. You may request a paper copy of a completed record, or a paper process instead of electronic signing, by emailing info@easychoicestreaming.com or calling 1 (480) 788-8320. Withdrawing consent does not cancel a signature already completed.
You need a current web browser (the last two versions of Chrome, Edge, Firefox, or Safari), JavaScript enabled, and the ability to view this website over HTTPS. You should be able to print or save a page to PDF to keep your own copy. A mouse, trackpad, or touch screen is used for a drawn signature; you may type your legal name instead.
Each completed package stores:
Access links are unique, 256-bit random values. We store only a SHA-256 hash of the link token. Staff reminders replace the previous token. Guessing a link is not practical; repeated invalid attempts from one network are rate-limited.
Form answers, signature images, signed PDFs, and audit logs are confidential customer / operational records. They are available to authorized Easy Choice Streaming staff and, for your own package, to you through the private link we sent and the PDF emailed after you sign. We do not sell this data, use it for advertising, or publish it. Signature files and PDFs are not placed in a public web folder. See the Privacy Policy for access, correction, and deletion requests (legal hold and accounting needs may limit deletion of a completed contract).
We typically retain completed packages, consent records, and audit logs for 7 years from completion, or longer if a dispute, tax, or legal requirement applies. Draft or voided packages may be removed sooner. Invitation emails should not be forwarded; the link identifies a specific signer.
Staff must send packages only for legitimate company business, verify recipient email addresses, never paste signing links into public posts or shared group chats, void a package if it was sent in error, and treat completed records as confidential. Built-in templates may be cloned; changing legal wording should be reviewed by ownership or counsel before wide use.
